Your role

You will be liaising between our marketing production teams and the clients, handling day-to-day projects’ operation to deliver quality outputs in a timely manner. What you get to work on and manage will develop naturally as you progress further in your career at The Color Club.

Report to Project Management Leader

 

Responsibilities include but are not limited to:

Project Operation

  • Obtain materials from the clients & prepare for the production process.
  • Liaise with production teams to book staff and resources for projects.
  • Monitor progress and resources, making sure projects’ milestones are reached, and outputs meet requirements (volume, time, quality).
  • Deliver completed projects to the clients & keep them updated on project status until the closing phase.
  • Brand Management System (BMS) Operation: Prepare, create, and manage accurate data on the company’s project management system. Create and enter data to maintain comprehensive project documentation.

Stakeholder Engagement

  • Liaise between clients and production teams to fulfil clients’ specifications and requirements.
  • Attend meetings with clients when required.

Project Closure.

  • Check data accuracy of completed projects.
  • Invoice finalization: Prepare invoices for the completed projects before handing them over to the accounting department.

 

Training period
Before fully taking the position, you will be trained for 2 – 4 months in the following areas:

  • Encode system, Brand Management System, Microsoft Power BI.
  • Other internal + external systems, Project management supporting tools.
  • PM Workflow.

 

Working schedule

You will be working in shifts to engage with our clients around the world who operate in different time zones from ours. Shifts will be rotated weekly, and arranged by team leader:

  • Morning shift: 07:00 AM – 03:00 PM
  • Afternoon shift: 01:00 PM – 09:00 PM
  • Evening shift: 03:00 PM – 11:00 PM
  • Night shift: 10:00 PM – 06:00 AM

Requirements

We believe that the ideal candidate should have:

  • No more than 2 years of work experience.
  • Able to communicate in English in both verbal and written forms at an intermediate level.
  • Proactive, willing to learn and have a growth mindset.
  • Ability to work under pressure and meet tight deadlines.
  • Attuned to technology. Experience using project management systems, MS Office and Google Ecosystem is a big advantage.
  • Able to work independently as well as work efficiently in a team.
  • Excellent organizational skills and attention to details.
